Administrative Assistant - Real Estate

Seeking qualified Administrative Assistant candidates to support management and department staff in a Washington, DC based real estate company.

This role provides support necessary for management and department staff to meet the day-to-day functions of the department.  The administrative assistant enhances management’s effectiveness by: scheduling appointments; preparing and distributing documents; communicating with leadership, outside callers and visitors; providing support to management; planning travel; and special projects as assigned by leadership.

Responsibilities include:

  •  Maintaining paper and electronic files of all correspondence, documents, reports, and other materials

  • Maintaining department inventory of office supplies and equipment, including purchase orders and check request

  •  Maintaining and updating Outlook with current information, including distribution lists

  • Communicating with staff, leadership, outside callers and visitors

  •  Directing incoming communications according to director’s schedule and priorities

  •  Managing difficult and demanding situations in a timely manner with tact and calmness

  •  Scheduling and maintaining managers' calendars

  • Organizing weekly/monthly conference calls for managers

  • Providing necessary logistics for meetings (internal and external) such as agendas, facilities and catering, accommodations and technical equipment

  • Preparing, editing and distributing reports, agendas, letters, meeting minutes, organizational charts and other documents

  • Ensuring all correspondence and documents have a professional appearance and are organized in a clear, concise and professional

  • Making travel arrangements for assigned managers and coordinating schedules

  • Completing expense reports for managers in a timely manner and ensuring expense reports are copied and turned into accounting for processing

  • Clearly representing self and the organization in a professional, courteous manner


  •   Bachelor’s degree or equivalent combination of education & experience

  •   Minimum of four years of experience as an administrative assistant

  •   Proficiency with Microsoft Office and Outlook

  •   Ability to prioritize work assignments/projects

  •   Excellent organizational skills and attention to details

  •   Excellent grammatical skills
