Executive Assistant - Health Care

Responsibilities include:

  • Manage day-to-day office operations, including, but not limited to organization and prioritization of tasks, and responding to written and verbal communications.

  • Maintain and update systems for communications among staff to facilitate the efficient flow of information relating to projects and programs

  • Ensure senior managers attend meetings on time.  This includes reminding management of upcoming meetings in a timely manner

  • Track, record, and direct incoming and outgoing office documents

  • Manage travel and registration logistics for conferences and meetings. Organize and process travel and; provide prompt feedback about travel

  • Coordinate and set up for meetings and events and arrange attendees’ schedules/attendance, set up conference calls

  • Draft and edit various written materials: correspondence, reports, and various forms, individual/mass mailings, create and maintain PowerPoint slides for presentations, generate meeting minutes, agendas, and other communication materials for proper format, grammar, punctuation, and spelling

  • Create and maintain office records including office procurements and reimbursement procedures, and project files

  • Request and process various services and orders for: purchase orders, office supplies, printing services, phone services, computer equipment

  • Distribute mail, prepare photocopies, and assemble printed materials; coordinate the printing and conversion of paper documents to electronic files

  • Performs other duties as assigned


Qualifications:

  • College education preferred; High School Diploma or GED required

  • Expertise in Microsoft Office Suite (MS Word, Excel, Outlook, and PowerPoint) and SharePoint

  • Minimum of 3-5 years office administration experience

  • Excellent communication skills, both oral and written

  • Excellent analytical and problem solving skills
